We collect information that you provide directly to us, as well as certain information that is collected automatically when you use The Task Portal.

  • Name and email address when you create an account
  • Company information and team member details
  • Authentication and security data such as password hashes, sign-in history, IP addresses, and approximate location based on IP
  • Project and task data that you create, including comments and activity history
  • Files and attachments you upload (for example images, videos, and documents)
  • Usage data about how you interact with the product, including features you use, plan limits, and performance metrics
  • Integration data when you connect third-party services (for example Slack workspace identifiers and slash command content)
  • Communication data when you contact us for support or send us feedback

How We Use Your Information

We use the information we collect to:

  • Secure your account by monitoring sign-in activity, detecting suspicious access, and maintaining security logs

Sign-In History and Security Logs

When you sign in, we record information such as the time and date of access, IP address, approximate location (city, region, country), browser, and device information. This data is shown in your account's security settings to help you review recent activity and is used to detect and investigate suspicious sign-ins.

Files and Uploads

When you upload files to The Task Portal (including avatars, logos, attachments, and other project or task files), we store them so that they are available to you and your team according to your plan's storage limits. You are responsible for ensuring that you have the right to upload this content and that it does not contain sensitive personal information beyond what is necessary for your use of the service.

Slack and Other Integrations

If you connect a Slack workspace or other third-party integration, we store limited information needed to operate that integration, such as workspace identifiers, team names, and the content of commands you send (for example, details you include in a /task command). We use this information only to perform the actions you request (such as creating tasks) and to maintain the connection. You can revoke access at any time from the integration provider or from your account settings.

Location Information

We derive approximate location (such as city and region) from your IP address using a third-party geolocation service. This information is used primarily for security (for example, to show you where recent sign-ins occurred) and for high-level usage analytics. We do not use precise GPS location data.

Data Security

We implement appropriate technical and organizational security measures to protect your personal information, including encryption in transit and access controls for administrative tools. However, no method of transmission over the Internet or method of electronic storage is 100% secure.

Data Retention

We retain your personal information for as long as necessary to provide our services and fulfill the purposes described in this policy, including maintaining security logs and backups, unless a longer retention period is required or permitted by law. When data is no longer needed, we take steps to delete or anonymize it.
